Room Bookings

Teaching rooms for AY2023/24 have not yet been booked and any bookings made in advance of this will be counted as provisional and may be subject to change to accommodate teaching. Please bear in mind that teaching bookings cannot be changed and alterations to any other bookings should only be made in consultation with the original room booker.

The procedure for making a booking is as follows:

  1. Check availability in the online room booking calendar https://mrbs.physics.ox.ac.uk/index.php
    (see room descriptions below for further details)
  2. Email your room booking request to reception CL (east) or DWB (west):

  3. Email booking requests to reception should include:
    • A brief description / title of the meeting*
    • Full description / further details i.e. number of participants
    • Start*
    • End*
    • Room*
    • Type* (teaching / meeting etc)
    • Catered
    • Booked for (who the meeting is for i.e. Ian – if external include contact details)
    • Booked by (who booked the room i.e. Helen)
    • Internal and/or external participants
    • Recurrence

  4. Once the booking is made in MRBS by reception the requestor will be forwarded a confirmation email by reception staff, who should be notified of any subsequent changes or cancellations to bookings.

Please Note

  1. Teaching rooms for Hilary Term 2023 have been booked and other room bookings can now be made,
  2. Bookings advertised in the Physics Lecture List have priority over other uses.https://www3.physics.ox.ac.uk/lectures/
  3. There is a no food and drink policy in the following rooms:
    • The Simpkins Lee Seminar Room
    • The Jack Paton Room (catering is permitted for seated meetings held boardroom style only)
    • Dennis Sciama Lecture Theatre
    • Lindemann Lecture Theatre
    • Martin Wood Lecture Theatre
  4. All rooms in the Beecroft Building are meeting rooms only and not available for teaching activities.
  5. Other foyers in the Martin Wood and DWB Level 5 cannot usually be booked from 9-5 Monday through Friday
  6. Common Rooms can only be booked after 5pm
  7. All bookings of the HARMONI video conference room must be approved by the HARMONI Project Administrator
  8. No room bookings can be changed or cancelled without prior consultation with the person who created the original booking
  9. Any external requests to book rooms (including student societies) should be directed to eahod@physics.ox.ac.uk
  10. Meetings should only be booked for the next academic year
  11. Rooms are only bookable from 8am to 8pm
  12. College tutorials - rooms in the Department (except the Beecroft) can be booked for college tutorials. However, block booking is not permitted; a maximum of one week ahead can be booked for these tutorials and these bookings are the lowest priority on the room booking hierarchy
  13. All event bookings for Michaelmas Term 2021, including conferences, involving external participants must be approved by the Head of Department. [RTOSW Group guidance approved by the Covid-19 Taskforce 31 August 21]
  14. All room users are responsible for clearing the room up after a meeting and ensuring it is ready for the next user
