Physics Video Conferencing Room

The main Physics Video Conferencing facility is room based system located in the Video Conference room on level 5 of the Denys Wilkinson building in Keble Road. It is capable of communicating with almost all commercially available conferencing systems over TCP/IP. The system incorporates a MCU (Multi Conference Unit) allowing simultaneous connections to up to 3 external sites.

  • Cisco SX80 VC system with 2 60'' screens plus 1 55'' touch screen.
  • Data sharing via desktop PC or laptop
  • Handsfree telephone

Compatibility - all common standards:

  • video conferencing standard h.323 (TCP/IP)
  • data conferencing: t.120, h.263
  • video standards: h.261 and h.263 - resolution: CIF and QCIF
  • audio standards: g.711, g.723, g.728
  • CERN Vidyo
  • NOT directly compatible with Skype - but you can connect to Skype using the PC in the room.

Booking

The system should be booked from the Media Services Unit or Stig Topp-Jorgensen.

For users external to Physics an additional rental charge will apply.

Detailed Instructions

Getting Ready:

  • Wake up the system by touching the control panel. After 30 seconds, the system will become operational.
  • If you want to use the PC in the room during the conference:

    login using the username and password shown on the keyboard

    note that the PC has a wireless keyboard and mouse which will work anywhere in the room.
  • If you want to use a laptop for presenting information during the conference: connect the long black cable from the VC system to your laptop.

Starting a Point to Point conference over IP (h.323):

  • Press "call" on the control panel.
  • type in the ip number you want to call (using the * key for .)
  • or press "favourites" and select one of the registered systems.

Receiving a Point to Point conference:

  • Incoming calls will automatically be accepted

Small Multipoint conferences:

  • The system can accommodate up to 3 external connections - simply repeat the steps above the required number of times

Using the CERN Vidyo Service:

Joining an existing Vidyo conference (virtual room):

  • Press the address book button, select contacts, select "CERN VIDYO" and press the green call button.
  • when prompted for the room number, type #<room number>#

Start an ad-hoc Vidyo Conference using the default virtual room:

  • Prior to the meeting, email the other parties and ask them to join you by clicking on this link: Oxford_Video_Conference_Room_1 and give them the pin code which is 73333. If they do not have Vidyo installed, they will be prompted to do so. Please, note that not all institutions allow Vidyo traffic through their firewalls.
  • To connect the video conference system to the conference: press the address book button, select contacts, select"CERN VIDYO" and press the green call button.
  • when prompted for the room number, type #10801831#

Allowing a registered CERN Vidyo user to call you directly:

  • Simply tell them to log in to the Vidyo portal and call ROOM_OXFORD_Room1

Using Skype (point to point calls only)

  • Log on to to the PC with user name video (type ".\video" as username) and password video@oxford and make sure you log on locally - NOT to the physics domain
  • double-click on the Skype icon
  • The system is known under the skype name "OXFORD _PHYSICS_VIDCONF_ROOM_1 and the password is video@oxford
  • make a call or receive a call as required

Finishing:

  • End all calls by pressing the red button on the Tandberg remote control
  • Press the red button again, to put the system in power saving mode.
  • Press the OFF button on the Panasonic remote control to switch off the Plasma screen

USING The Plasma Screen for Viewing a Presentation (when not in a conference):

  • Switch on the Plasma Screen and connect computer or laptop as described in "Getting Ready"
  • Press the "presentation" button on the Tandberg remote control

Controls During a Conference:

Local Display

You can control the layout of the local display by pressing the "self view" and "layout" buttons on the Tandberg remote control.

Main Video Controls:

You can control the video signal you are sending by pressing the buttons 1 to 9 during a conference. These are preset as follows:

  • Close up on main speaker
  • Centre group
  • Room
  • right hand side of room view
  • left hand side of room view
  • Close up on right hand side
  • Close up on left hand side
  • Document Camera
  • Computer (room PC or laptop - depending Video Matrix Switch)

DUO Video Controls

  • If the other party is capable of receiving dual video streams, you can activate this by pressing the "presentation" button on the remote control. Pressing this will cause a second video stream to be sent in parallel with the main video stream. By default, this second video stream will send the presentation from you laptop or from the PC (depending on the Video Matrix Switch). In other words, the other party will be able to see both you and your presentation at the same time.
  • To switch off the second video stream, simply press the "presentation" button again.

Audio Controls

  • Volume controls can be found both on the Tandberg and on the Panasonic remote controls.
  • In multi point conferences, it is good practise to mute your microphones when not speaking. To do this press the yellow button on the Tandberg remote control. Press it again when you want to reactivate the microphones.

Changing Gatekeeper Settings using stored presets

  • move cursor to the spanner icon ("control panel") and press OK
  • Move cursor to "installation" icon (bottom right hand corner) ad press OK
  • Move cursor to "profiles" icon (second from left) and press OK
  • move cursor to "JVCS" (for the default JVCS gatekeeper) , "ESNET" (for the ESNET gatekeeper) or "Direct" (to work without a gatekeeper)
  • move cursor to "activate" icon (second from left) and press OK
  • You will be asked if you are sure that you want activate this profile - press OK
  • after about 10 secons the system will be ready

Changing Gatekeeper Settings if store presets have accidentally been deleted

1. Go to the h.323 settings menu as follows:

  • press OK
  • Select the spanner symbol (using the arrow symbols placed aroung the OK button) and press OK
  • Again, select the spanner symbol and press OK
  • Select "administrator Settings" and press OK
  • Select "network" and press OK
  • Select "lan settings and press OK
  • Select H.323 settings and press OK

2. enter relevant gatekeeper details

  • go to H.323 alias and enter the required alias: this should normally be 0044010401487 ( JVCS ),
  • under "H.323 call setup" select "gatekeeper " or "direct" (if you want to work without a gatekeeper)
  • go to "gate keeper IP and enter the ip number - this should normally be 194.80.134.34
  • select the floppy disk symbol and press ok (to save settings).

(in the unlikely event that the JVCS gatekeeper is out of action, you can connect to ESNET instead. In that case the H.323 alias should be set to 201640 and the gatekeeper |p address should be set to 198.129.252.168

Common problems

No sound our end:

  • check volume on remote control for Tandberg system
  • check volume on remote control for monitor
  • Ask other party to check that they have not muted their microphone (a very common mistake)

No sound at remote end

  • Check that the microphone is not muted (yellow button on remote control for Tandberg).
  • Ask other party to check their speakers
  • If it still does not work and you are connecting via a Codian MCU (ESNET for example), then try to disable the AAC LD audio protocol:

    press Ok

    select the spanner symbol and press OK

    select administrator settings and press OK

    select call quality and press OK

    untick AAC LD

    select the floppy disk symbol and press OK

Remote site does not see your presentation

  • press 9 on the key pad
