Video Conferencing

Key Features:

IP Information:

Setting up the Equipment:

  • switch on sound system and PC (in podium)
  • turn on radio microphone (kept next to the PC on top shelf of podium)
  • login locally with username "lecture" (login as ".\lecture") and password physics@oxford

Making a point to point video conference call

  • double-click on the Polycom Telepresence M100 icon
  • type in the ip address of the system you want to call the click on the green button

Receiving a point to point video conference call

  • Make sure that the caller has got the IP address of the system: 163.1.243.183
  • double-click on the Polycom Telepresense M100 icon
  • Wait for the incoming call - it will automatically be accepted

Joining a video conference via ESNET or KEK

  • double-click on the Polycom M100 icon
  • For ESNET, type 0011349 followed by "room number" for the conference you want to join and the click on the green button
  • For KEK, type 0011289 followed by "room number" for the conference you want to join and the click on the green button
  • if you are prompted for a pin code:
  • click on keypad icon at the top of the window
  • enter the pin followed by # (sometimes referred to as the "pound" key)

Joining a video conference arranged via JVCS

  • Please note, that JVCS conference have to be booked with JVCS in advance of the meeting - please allow at least a couple of hours.
  • double-click on the Polycom m100 icon
  • wait for the JVCS system to call you - the call will automatically be accepted.

Using Skype

  • double-click on the Skype icon
  • The laptop is know under the skype name "OXFORD _PHYSICS_FISHER_ROOM and the password is video@oxford
  • make a call or receive a call as required

Joining an EVO meeting

  • Double-click on the EVO icon
  • follow the instructions.
  • login with user name oxford6 and password videoAToxford (or use your own personal account

Using the CERN Vidyo Service:

Joining an existing Vidyo conference (virtual room):

  • Double-click on the icon labelled Vidyo desktop
  • The Vidyo application will then start up but will stay hidden in the background. The only indication that it is running will be a small cube shaped icon in the task bar.

If you have been sent a link, then simply open your e-mail and click on the link.

Or if you are a registered Vidyo user, login to CERN Vidyo portal and join the meeting.

Start an ad-hoc Vidyo Conference using the default virtual room:

  • Prior to the meeting, email the other parties and ask them to join you by clicking on this link: OXFORD_PHYSICS_FISHER_ROOM and give them the pin code which is 73333. If they do not have Vidyo installed, they will be prompted to do so. Please, note that not all institutions allow Vidyo traffic through their firewalls.
  • Double-click on the icon labelled Vidyo desktop
  • Double-click on the icon labelled CERN VIDYO Fisher room shortcut
  • When prompted, either login using the Vidyo account or login as guest.

Audio Controls during a meeting

  • All of the above mentioned conference types use the radio microphone.
  • During the conference you can mute the microphone by pressing the buttom on top of microphone transmitter.
  • You can adjust the speaker volume directly from the application (preferred) ordirectly on the amplifier inside the podium.
